Salary Advances & Loans

Let employees borrow against future salary and recover it automatically through monthly EMI deductions on their payslips. HR reviews and approves each request, and the system tracks the outstanding balance until it's cleared.

Open HR Management → Salary Advances (/hr/salary-advances).

Request an advance

  1. Click New / Request and pick the Employee.
  2. Choose an Advance Type:
  3. Festival (Dashain)
  4. Medical Emergency
  5. Personal
  6. Salary Advance
  7. Enter the Requested Amount (NPR), the Repayment Months (how many cycles to spread the EMI over), and a Reason.
  8. Submit Request — it enters the approval queue.

Employees can self-request

Staff can raise their own advance from the Employee Self-Service portal; it lands in the same HR queue for approval.

Approve and set the EMI

When you Approve a request you can set the Approved Amount (NPR) (HR may approve less than requested) and confirm the Repayment Months. The system derives the Monthly EMI from the approved amount ÷ months.

The list keeps each advance visible with its Requested, Approved, Monthly EMI, Remaining, Status, and Repayment progress so you can see balances at a glance. Use the Search employee box to find a record quickly.

How recovery works

Once approved, payroll automatically deducts the Monthly EMI each cycle as a line on the payslip, reducing the Remaining balance until it reaches zero.

Net-pay floor still applies

Advance EMI is a discretionary deduction. If a cycle's deductions would push net pay negative, payroll waives discretionary items (largest first) and logs the shortfall for recovery next cycle — statutory withholdings are never waived. See Payroll & Tax.
