Procure to Stock (end-to-end)

This walkthrough buys goods from a supplier and gets them valued in stock — purchase order, goods receipt, stock ledger, and valuation.

1. Make sure the masters exist

Before your first purchase, set up items & masters: the item, its category and unit, the warehouse, and the supplier.

2. Raise a purchase order

Open Materials → Purchase OrdersNew PO (see Purchasing):

  1. Pick the supplier.
  2. Add item lines with quantity and price.
  3. Approve the order.

3. Receive the goods (GRN)

When the goods arrive, open Materials → Goods ReceiptNew GRN, select the warehouse and the items received (pull from the approved PO), then Post. Posting writes the quantities to the stock ledger at weighted-average cost and updates on-hand balances.

Posting is the commit

A draft GRN doesn't move stock — posting does. After posting, adjust with a later document rather than editing history.

4. Confirm stock & value

  • Stock Balance (/materials/stock) — on-hand quantity is up.
  • Stock Ledger (/materials/ledger) — the receipt appears in the movement trail.
  • Valuation (/materials/valuation) — inventory value reflects the new stock at cost.

If you mapped accounts in GL Configuration, the receipt also posts to accounting automatically.

Done

Goods ordered, received, valued, and (optionally) posted to the ledger — your stock and books agree.
