Create a Candidate

Candidates are long-term foreign-employment records, so the platform archives rather than deletes them. This guide creates a brand-new candidate.

Steps

  1. From the left sidebar open Recruitment → Candidates, then click New (or use the top-bar + → New Candidate). You land on /candidate/create.
  2. Fill in the identity fields — Full Name and Email (the email becomes the sign-in username).
  3. Contact — a valid primary phone is required.

Passport (optional, but complete-or-nothing)

A candidate can be registered without a passport (capture the lead now, add it later). But once you start a passport, all four fields are required together:

  • Passport Number
  • Date of Issue
  • Date of Expiry (must be after the issue date)
  • Issuing Authority

Scan instead of typing

Click Scan Passport to Auto-Fill, upload or photograph the passport, and the OCR fills the number, dates, issuing authority, name and date of birth. Verify the result, click Edit Scanned Data to correct anything, then save. The scanned image is stored with the candidate.

  1. Click Save.

What happens next

An invitation email is sent automatically

The candidate doesn't get a password from you — on save they receive a set-password link by email (same onboarding as employees, agents and tenant admins). Until they set it, you can re-send from the candidate list's Send Password Reset action.

Managing existing candidates

From Candidates, each row's menu offers:

  • View Profile / Edit Details
  • Send Password Reset — emails a fresh reset link.
  • Ledger / Payments
  • Disable / ArchiveEnable — the safe alternative to deletion. A candidate with job applications cannot be deleted; archive instead.
